The Front Office is the face of Rancho Santana. Generally speaking, this department is the "nerve center" of the entire operation of Rancho Santana Vacation Rentals and non-RSVR guests, as all transactions pass through within or through this department. The Front Desk is primarily responsible for checking in guests and RSVR owners when they arrive, taking care of requests during their stay, and checking out guest/owners when they depart, as well as being knowledgeable and friendly ambassadors of the Ranch. The Front Office Department aims to provide a personalized and consistent experience that exceeds every guest's expectations, creates long-term relationships, and generates future business. This position supports the Director of Front Office and Front Office Manager in the daily XYZ of the Ranch.


Duties & Responsibilities
? Guest Relations
o Act as late-night Front Desk Agent, completing any check-ins, activity scheduling or other duties of any agent.
o Resolve complaints, problem-solve disturbances, tend to any special requests or other issues that may arise in a quick, efficient manner to maintain a high-level of customer satisfaction and quality service.
o Review reservations daily of VIP arrivals, special requests and repeat guests or owners.
o Provide feedback to front office management on areas improvement, consistently looking for ways to improve internal operations and ultimately, the guest experience.

? Administration
o Ensure accurate execution of financial and operational transactions across all systems.
o Manually post activity charges for all Ranch activities, including transportation and outside services; revise and add commission for all instructors and service providers.
o Prepare reports for accounting, including post scan audit, room rates audit, folio balance report, department revenue, day end reports and weekly Comp Report.
o Prepare for all arrivals, including sharing guest list with other departments, printing registration cards and reviewing all reservations for special notes, running inventory reports, and other.
o Prepare for all departures, including reviewing accounts, ensuring all charges have been made and any changes made before departure.
o Work closely with Back Office Supervisor to ensure satisfactory completion of the night audit and all financial reports.

Skills & Requirements
? Team player and collaborative spirit. Must possess excellent interpersonal skills and contribute an energetic and positive attitude to the Front Office.
? Fluency in English and Spanish communication and grammar, both written and oral.
? Strong computer skills, including the ability to learn new programs quickly.
? Ability to exercise good judgment with all situations as they arise.
? Ability to maintain accurate records and reports.
? Knack for being able to solve problems independently and efficiently with minimal guidance.
? Proactive mindset and outside-of-the-box thinking toward the unique situations that are encountered as a Night Auditor.
? Ability to multi-task, work effectively and keep calm under the pressures of working at a world-class resort.
? Extreme attention to detail.
? Excellent computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook and PowerPoint) and ability to learn new programs quickly. Experience in hospitality software preferred.
? Strong work ethic.
? Ability to work through the hours of 10p - 6a on a consistent basis for 5 days a week. Days vary according to the department’s needs.
