The Front Office is the face of Rancho Santana. Generally speaking, this department is the "nerve center" of the entire operation of Rancho Santana Vacation Rentals and non-RSVR guests, as all transactions pass through within or through this department. The Front Office is not only responsible for checking in guests when they arrive, but also providing assistance to guests before, during and after their stay, as well as being knowledgeable and friendly ambassadors of the Ranch. The primary role of this team is to provide home orientations to all incoming guests, assist with luggage, transportation, information and any other service or arrangements needed during a guest's stay. This position reports to the Home Orientation Supervisor.
Duties & Responsibilities
? Guest Relations
o Review all daily arrivals and departures – communicating with the various departments and Front Desk Agents regarding any early departures or late arrivals and that all special requests are carried out.
o Assist guests with all requests, or delegate to the appropriate department or team.
o Responsible for effectively being able to show a guest to any accommodation within the RSVR portfolio via vehicle or motorcycle, and communicate all of the unique qualities and intricacies of every accommodation within the RSVR portfolio.
o Ensure readiness of Inn rooms (iPads, luggage racks, etc.).
o Help with any Front Office errands or tasks.
? Administration
o Assist in creating arrival allocation spread sheet for daily arrivals.
o Help administer front office inventory – includes but not limited to cribs, Pack n’ Plays, coolers, tennis racquets.
o Help manage key inventory and functionality.
o Oversee that all accommodation safes are in proper working order with correct instructions.
o Cross reference energy system in designated accommodations.
Skills & Requirements
? Fun, dynamic, good sense of humor. Team player and collaborative spirit. Must possess excellent interpersonal skills and contribute an energetic and positive attitude to the Front Office.
? Fluency in English and Spanish communication and grammar, both written and oral.
? Strong computer skills, including the ability to learn new programs quickly.
? Ability to exercise good judgment with all situations as they arise.
? Proactive and outside-of-the-box thinking toward the unique situations that are encountered.
? Ability to multi-task, work effectively and keep calm under the pressures of working at a world-class resort.
? Extreme attention to detail.
? Capacity to memorize large amounts of information.
? Ability to spend long hours on feet and to regularly lift luggage and objects up to 50lbs.
? Have a flexible weekly work schedule of 5 days a week, 40 - 48 hours a week. Varies according to the department’s needs.
