JOB DESCRIPTION:
Under limited supervision,Coordinate the office suplies, coordinate administration activities with vendors, coordinate corporate internal visit to the office, performs a variety of clerical and secretarial duties. Compiles data for reports, answers telephone calls, and makes appointments. Requires a business or technical vocabulary and knowledge of company operations, organizational procedures, and staff. Makes independent decisions within established guidelines regarding planning, organizing, and scheduling of work. Uses various PC software packages such as spreadsheets, word processing, graphics, etc., to produce high quality reports, presentations, or other documents. May provide support to multiple professionals or a department. Assist with HR activities as required, such as Employee file management, Social Security coordination, employee activities, among others.
Assists the sales department providing administrative support for the development of sales proposals, quotations and selected correspondence. Prepares market data regarding account activity, competition and general trade data to support the sales staff’s efforts, Keep updated database in Marketing Report, follow up with the Sale Force with correspondence for renewal of contracts (Liner/Logistics/Warehouse/Trucking), keep customer profiles up dated and loaded in share point, filing of rates and to have contact when need it with our Pricing Department. May also assist in telemarketing and/or customer service (quotes, bookings, tracing) functions and develop ocean rates through conference/pricing department, implementation of any project related to quotations, new format to implement

EDUCATION:
Bachelor degree in Business Administration or related. Fully bilingual

REQUIRED EXPERIENCE:
2 - 3 years experience in administrative, secretarial and HR assistant roles
Reporting, Organizational, Administrative, excellent verbal communication and writing skills
Advanced knowledge of Microsoft Office
Experience managing processes and Analyzing Information
Must conduct themselves with professionalism
Must have Problem Solving abilities
Experience and knowledge in Supply Management, Inventory Control, employee file management, Social Security coordination and Sales
